Two inspections, two reports
The landlord and tenant inspect the premises within one week before or after the tenant takes possession, and again within one week before or after the tenant gives up possession. Each time, the landlord gives the tenant a report describing the condition of the premises as soon as the inspection is done.
The landlord may inspect without the tenant only after proposing 2 inspection times, on different days that are not holidays and between 8 a.m. and 8 p.m., and no adult tenant agrees to take part.
The statements every report carries
Every inspection report contains the statements set out in section 4 of the Residential Tenancies Ministerial Regulation, signed as it requires. The first is the same on every report: inspections should be conducted when the premises are vacant unless the landlord and tenant or their agents otherwise agree.
When both sides take part, the landlord signs a statement of the date and who conducted the inspection, and the tenant signs either that they agree the report fairly represents the condition of the premises, or that they disagree and why. If the tenant refuses to sign, the landlord signs a statement saying so. If the tenant was not present, the landlord signs a statement that the inspection was conducted without them.
The deposit after move-out
The landlord may not deduct for damage from the deposit unless the inspection report requirements have been met, and no deduction may be made for normal wear and tear.
Within 10 days after the tenant gives up possession, the landlord returns the deposit, or the balance with a statement of account. If the amount cannot yet be determined, the landlord sends an estimated statement, then the rest and a final statement within 30 days. The landlord keeps a copy of each inspection report for at least 3 years after the tenancy ends.
From walkthrough notes to a finished Alberta report
Walk the unit room by room with the tenant and note each item. Record whether the tenant or their agent attended: ReportDraft prints the statements that fit, with the inspection date and both names filled in, followed by the tenant's agree or disagree statement and signature lines for both sides.
If the tenant signs on your device, their choice and any reasons print on the report. If you inspected without the tenant, ReportDraft prints the statement for that case instead.
Common mistakes
- Inspecting more than a week before or after the tenant moves in or out.
- Leaving the prescribed statements off the report, or missing a signature.
- Inspecting without the tenant before proposing 2 times on different days between 8 a.m. and 8 p.m.
- Deducting for damage when the inspection reports were never done.
- Charging for normal wear and tear.
